Privacy Notice
Last updated: 5 October 2026
This notice explains how Quadra collects and uses personal data when you visit quadra-ai.com, apply to our Design Partner programme, book a call with us, or receive an email from us because your work contact details are on a business-contact database.
Who we are
The data controller is Quadra LLC, 8 The Green #6252, Dover, DE 19901, United States.
You can contact us about this notice, or exercise any right described below, at privacy@quadra-ai.com.
What we collect, why, and on what basis
1. People who visit this website
- What: technical data your browser sends to our hosting provider (such as IP address, browser type, pages requested) in ordinary server logs; and, only if you click Accept on the cookie banner, analytics data about how the site is used (Google Analytics: pages viewed, approximate location, device and browser, and cookies set by Google Analytics).
- Why: to deliver and secure the site and, with your consent, to understand which pages are useful.
- Basis: our legitimate interest in running and securing the site (server logs); your consent (analytics). You can change your choice at any time using Cookie settings in the footer. If you reject, no analytics script is loaded.
2. Design Partner applications and enquiries
- What: the details you give us in the application form: first name, last name, work email, company, role, team size, current Support platform, and an optional message about your challenges; and anything you tell us when you email us or book a call.
- Why: to respond to you, assess whether Quadra is a fit, run the programme if you join, and follow up about it.
- Basis: steps you ask us to take before entering into an agreement, and our legitimate interest in running the programme. Where the law requires your consent for follow-up marketing, we ask for it separately.
- Where it is stored and who receives it: your submission is stored in Google Cloud (Firestore). We store the fields you submit, the time of submission and an automatic deletion date. We do not store your IP address or browser details with your application, and our application logs do not record your email address. Our cloud hosting provider's request logs may include your IP address for operating and securing the service. To limit abuse of the form we count submissions using a one-way, salted hash of your IP address that is rotated daily; those counters are deleted automatically a short time later. A notification containing the details you submitted is emailed to our team through our email delivery provider, Resend. We do not currently send applicants an automatic confirmation email.
3. Booking a call
If you book a call through our Google Calendar scheduling link, Google processes your name, email address and chosen time to create the booking, under Google's own terms.
4. Business contacts we reach out to (you may be here because you received an email from us)
- What: your name, work email address, job title, company and company details (such as size and industry), location, and the web address of your professional profile.
- Where we got it (source): commercial business-contact data providers. We did not collect this data from you directly.
- Why: to send a small number of relevant business emails to people in roles (for example in Customer Support or Support Operations) who may be interested in what Quadra is building, and to invite them to talk with us.
- Basis: our legitimate interest in business-to-business outreach. We limit outreach to relevant roles at relevant companies, send a small number of messages, include a one-click unsubscribe in every email and in the email headers, and stop when you ask. A short legitimate-interests assessment is available on request.
- Your right to object: you can object to this use of your data at any time, and we will stop. See "Opting out" below.
Opting out
- Every email we send has an unsubscribe link. One click stops all further email from us, on every list.
- You can also write to privacy@quadra-ai.com and tell us the address to stop contacting.
- To make sure we never contact you again, we keep a minimal record: your email address, or a one-way hash of it, on a "do not contact" list. We use it only to honour your request.
- We act on opt-outs promptly and no later than the periods required by law (in the US, within 10 business days).
Who we share data with
We use service providers to run our business. They process data on our instructions:
- Google (Google Workspace for email and calendar, Google Cloud and Firebase for website hosting and storage of form submissions, Google Analytics if you accept analytics cookies).
- Resend (delivery of notification emails to our team when you submit our website form).
- Our email-sending system, which we operate ourselves, to send and manage outreach emails and unsubscribe requests.
We do not sell personal data. We may disclose data if the law requires it. A list of subprocessors is available on request.
International transfers
Quadra is based in the United States, and our service providers process data in the United States. If you are in the UK or the European Economic Area, your data is transferred to the United States under safeguards such as standard contractual clauses.
How long we keep data
- Website server logs: kept by our hosting provider for a short period under its own policy.
- Design Partner applications and enquiries: for as long as needed to run the conversation and the programme, and up to 24 months after our last contact, unless you ask us to delete it sooner.
- Business contacts: until you opt out or object, or until the data is out of date or no longer relevant, and in any case no longer than 12 months from the last email. The "do not contact" record is kept so that we continue to honour your request.
Your rights
Depending on where you live, you may have the right to access your data, have it corrected or deleted, restrict or object to our use of it, receive a copy in a portable format, and withdraw consent at any time (this does not affect earlier processing). To exercise a right, email privacy@quadra-ai.com. When we erase your data we keep only a one-way hash of your email address, to show that the erasure was carried out. If you are in the UK or EEA you also have the right to complain to your local data-protection authority. We will respond within the time the law allows.
Cookies
Analytics cookies from Google Analytics are set only after you click Accept. We do not use advertising cookies. Your cookie choice is stored in your browser so we do not ask you again on every page; clear it or use Cookie settings to change it. This site's fonts are served from our own domain, so loading it does not send your address to a font provider.
Security
We use technical and organisational measures that are appropriate to the data we hold. No system is perfectly secure, and we cannot guarantee absolute security.
Children
Our website and outreach are directed to business professionals. We do not knowingly collect data from children under 16.
Changes
We may update this notice. The date at the top shows when it last changed. If a change is significant we will tell you, for example on this page.
